Sign or decline

Review the complete PDF, then make a clear decision.

How you reach the request

A Signer can open the email link or, if they have a Signit account, see the assignment in To sign on the Documents page. Opening the link while signed in links the assignment to that account by itself, even if the account email differs from the invitation address. A link is personal and expires; do not forward it to someone else.

Sign

  1. Open the request and review the whole PDF in one scrolling view. Confirm who sent the Envelope and who you are signing as. Every field that needs your signature is drawn where it will be stamped, marked Sign here; the Sender may have placed several, on any page or on an added signature page. You can review each position but cannot move it.
  2. Choose Start, or click the first Sign here field. Type your full name as your adopted signature name and choose Adopt and sign: the name is drawn in that field and you type it only once. Change name replaces it in every field you have signed.
  3. Sign each remaining field. The header counts your progress, for example 2 of 4 signatures, and Next signature scrolls to the next unsigned field, even on another page. Clicking a signed field's clear control removes your name from it so you can sign it again.
  4. Read the consent disclosure and confirm only when you agree.
  5. Choose Finish. It stays disabled until every field is signed, every required answer is filled in, and the consent is confirmed. Signit checks that the request is still available and that the signed fields are exactly the ones prepared for you, then records the action.

Refreshing the page keeps your adopted name and signed fields, but only in the same browser tab; another device or tab starts over. A page that fails to load blocks the fields on it until you retry the document.

After completion, the frozen field in the derived Final PDF contains only your adopted name, drawn in a handwriting script. Added signature pages use a Name | Date | Signature table, with the signing date in its own column. The Signature Record also retains the signing time. The uploaded Original PDF remains unchanged. The script is styling only: this stays a visible typed-name electronic-signature mark, not a captured handwritten signature and not a cryptographic PDF certificate. The script font is open source under the SIL Open Font License and is served from Signit's public /fonts/ files.

The confirmation screen links onward: signed-in Signers go back to their own documents, and Signers who arrived from an email link can sign in to keep the documents they have signed.

Fields you fill in

Some requests also ask you to type text or tick boxes. They appear under Your answers, and each one is drawn on the page where it will be printed. A field marked * is required: required text cannot be left blank and a required box must be ticked. Text the Sender already wrote may be yours to change; text the Sender locked is part of the document and you cannot edit it. Leaving an optional box unticked is recorded as left unticked, which is different from unticking it yourself.

If a required answer is missing, the field says so after you leave it, and the list under your answers offers a Go to link for each one. Choosing one of your boxes on the document jumps to its answer. Show on the document lets you find the corresponding box when you choose; typing keeps the answer input in view, including on phones.

Your answers save privately as you type. Only you can read them, from this link, your Signit account or your connected agent, and you can continue on another device. If they changed on another device, Signit asks you to load the latest version instead of overwriting it.

Before you finish, your answers and the Sender's locked text are listed right above the checkbox. Finish submits them and signs with them. If you change an answer or your adopted name after you tick the checkbox, the checkbox clears; tick it again when you are done. If something changes while Finish is checking, Finish stops and tells you; nothing is signed.

The signed PDF uses the same text lines and continuation references as the Final PDF. An answer that does not fit its box shows its reference, such as C4, and its complete text is printed on the continuation page. Other Signers' answers appear on the document as they are when you finish.

Unsubmitted answers are deleted when you finish, decline, or the request expires. The Sender sees only the answers you submit.

When you finish, the confirmation says that your answers were submitted with your signature and can no longer change, and whether other Signers still need to sign.

After you finish

The confirmation shows the document name and the time you signed. If other Signers still need to sign, it says that you will get an email with the signed copy when everyone has signed. That email links to your own signing link. It does not attach the PDF.

When everyone has signed, the same link offers Download signed copy, the final PDF, and Download certificate when the certificate exists. Both stay available for 30 days after the Envelope completes, through your signing link or, when you are signed in, from your account. After 30 days the links stop working.

If you signed without an account, the page also offers Create an account so that all your signed documents stay in one place.

Decline

Declining is a terminal decision. Choose Decline to sign, read the confirmation, and confirm only when it is your decision. The Envelope stops for the remaining Signers and the Sender is notified.

If something does not work

  • The link expired or was replaced: ask the Sender for a new Envelope or the most recent invitation.
  • You cannot see the document in Documents: reopen the signing link from your email while signed in — the request links itself to your account, even if the account address differs from the invitation.
  • You cannot open the PDF: try again. Do not sign until you have reviewed the complete document.
  • Finish says it could not prepare your answers: try again. If Signit asks you to check your answers and name for unusual characters, change those characters and try again. Your answers stay on the page.
  • Finish says the request can no longer be completed: ask the Sender for a new signing request.
  • Finish shows an error after you clicked it: the page checks the request again. If your signature was recorded, the page shows it as complete. Otherwise press Finish again.
